Frequently Asked Questions

A digital signature is a unique identifier and combination of personal information that certifies the PDF is original and authentic. Record check results will be provided to you in an electronic format.

You must advise the Record Check unit via email that you require a paper copy of your results: pcrc@southsimcoepolice.ca

As of July 1st, 2025, there is a $5 fee for a paper copy of your results.

  1. An electronic record check is sent to the applicant’s email address as a PDF attachment.
  2. Using a PDF reader (e.g. Adobe Acrobat), open the PDF.
  3. Confirm all information is accurate.
  4. Depending on the software you are using, at the top of the PDF’s first page, you will see:

  5. In the result portion, there will be a box selected with an ‘X’ inside indicating your record results.
  6. At the bottom of the second page, you will find the digital signature from South Simcoe Police Service.

  7. Select the Click here to verify Digital Signature. This will open a ‘Signature Validation Status’ box as shown. You will be able to see here that the document has not been modified since it was certified. This certifies the record check is authentic.

  8. Confirm the Date Completed and Badge Number fields are filled in.

You can apply online as long as you have a bank account, credit history and the ability to pay online. 

We use Equifax to verify your identity. If you are unsuccessful in your Electronic Identity Verification (EIV), you may still complete your application online, however you will be required to come in person and have your identification verified (see below). 

As a volunteer, you will need an electronic, scanned or a pdf copy of the organization’s capacity letter to attach to your application.

No, Vulnerable Sector screening checks are only valid for the specific employer/position for which it was conducted due to the potential Ministerial disclosure, and are not likely to be accepted by another Vulnerable Sector employer.

To apply online, you must complete the Electronic Identification Verification (EIV) process.

Requirements for EIV

  • A bank account
  • A credit history
  • The ability to pay online


Important: This is NOT a credit check.

If Your Identity Cannot Be Verified

  • You may attempt the EIV process twice.
  • If you are still unsuccessful, you will be contacted with further instructions


Before You Begin Online

You will need:

  • A computer with an internet browser and an email address
  • A bank account and credit history for the EIV process
  • An electronic copy of your volunteer capacity letter (if applying as a volunteer)


The South Simcoe Police Service (SSPS) uses Equifax to confirm your identity through your credit information. To learn more, visit the

Volunteer Applicants

  • You must attach a scanned or PDF version of your volunteer letter.
  • The letter must:
    • Be on the organization’s official letterhead
    • Clearly identify the organization you will be volunteering with
    • Be signed by the volunteer organization
  • Letters that are incomplete or illegible will be rejected, and you will be required to reapply.


How will I receive the results of my records Check?

Results stemming from Record Check applications will be returned to you via Email (Softcopy).

Types of Police Record Checks

There are three (3) types of Police Record Checks:

  1. Criminal Record Check (CR)
  2. Criminal Record and Judicial Matters Check (CRJM)
  3. Vulnerable Sector Check (VS)


The type of check you require depends on:

  • The organization requesting the Police Record Check
  • Whether you are applying as an employee or a volunteer
  • Whether your role involves direct contact with vulnerable persons

Your privacy and security are our priority. Once your identity has been verified, your account will be protected with secure authentication each time you log in.

  • A unique authentication key will be sent to your email each time you log in.
  • This key changes every time, ensuring that only you can access your account.
  • This process confirms that the login request is from the person with the verified email address, not an automated bot or an unauthorized user.

As per the Federal Youth Criminal Justice Act (YCJA) the release of youth records is not permitted. Authorized release of a PRC containing youth records is legislated for federal, provincial or municipal governments only.  

Police services will only provide Police Record Checks to applicants under the age of 18 for government positions.

You will be contacted via email if fingerprints are required. Please ensure you check your junkmail for correspondence.

Applicants who have a criminal record will be required to be fingerprinted so that the service can confirm a criminal record is held at the RCMP National Repository of Criminal Records.

If you are seeking employment and/or volunteering in a position of authority or trust relative to vulnerable persons you may be required to submit fingerprints to verify whether you have received a record suspension for a sexual offence contained within the RCMP National Repository of Criminal Records.

Note: Fingerprints are required for all adoption requests and are submitted to the RCMP who will conduct the appropriate database searches. These searches include any record suspensions as authorized for release by the Minister of Public Safety.

If fingerprinting is required as part of the process, there is a separate cost. The cost for Live Scan Fingerprinting for volunteers is $45.00. The fee for Live Scan Fingerprinting for all other purposes is $90.00 – this price includes a $25.00 RCMP fee.
